Support Arts Gardening Education (SAGE)

SAGE runs a Horticultural Therapy Project for adults with mental health problems called SAGE Greenfingers. The garden is sited on an allotment in Burngreave with an administrative office based nearby.

We are seeking a friendly, organised and experienced administrator to support our small team and the SAGE Director. You will have excellent communication skills and experience of financial administration.

Job description

  • Job title: Book-keeper /Administrator

  • Salary: £17,400 (pro rata)

  • Hours: 11 per week (Exact hours and when they will be worked will be negotiated with the successful candidate).

  • Annual Leave: 25 days per annum pro rata

  • Pension: 10% Employers contribution

  • Reports to: SAGE Director

Main Duties and Responsibilities

  • Using Quickbooks to input data for recording income and expenditure.

  • Using Excel spreadsheets for monitoring and evaluation purposes.

  • Using MSWord to produce letters, reports, administrative forms and minutes of meetings.

  • Management of manual and electronic filing systems.

  • Photocopying and collating documents.

  • Managing incoming and outgoing post and e-mails.

  • Answering telephone and postal queries where appropriate.

  • Taking referrals.

  • Providing information to other agencies regarding the project.

  • Book-keeping tasks;

    • Processing invoices and making cheque requisitions

    • Handling petty cash and banking

    • Recording income and expenditure

    • Reconciling expenditure with bank statements

    • Monitoring budgets

  • Producing monthly management reports comparing actual income and expenditure against budgets.

  • Maintaining stationery supplies and placing equipment orders.

  • Organising meetings and booking venues, catering, transport etc for events.

  • Minute taking.

  • Use of communication systems e.g. message book.

  • Welcoming occasional visitors to the centre and offering refreshments as required.

  • Maintaining and updating records of referrals and service users.

  • Updating and maintaining inventories.

  • Working in line with SAGE policies and procedures.

  • Undertaking any training required by the post.

  • To undertake all duties in a professional manner to support the success of SAGE Greenfingers.

  • To undertake any other reasonable duties that may arise.
